Kirshenbaum & Urban, LLP is Hiring a Bookkeeper/Administrative Assistant Near White Plains, NY

Overview

We are a boutique accounting firm located in downtown White Plains seeking an exceptional Bookkeeper/Administrative Assistant to support our team and service our clients. This role requires an individual with a strong background in bookkeeping and excellent administrative, computer and organizational skills. The ideal candidate should be a detailed oriented and efficient multi-tasker that is comfortable working in a fast paced small company environment and exhibits a high level of confidentiality and reliability. There is room for growth for the qualified individual.

Bookkeeping Responsibilities

  • Perform bookkeeping tasks for multiple companies using QuickBooks, including recording financial transactions, managing accounts payable and receivable, and preparing journal entries.
  • Perform account reconciliations and balance sheet reconciliation.
  • Analyze accounts and perform account analysis to ensure accuracy.
  • Assist with the preparation of financial reports and statements.
  • Collaborate with clients and accountants to gather necessary financial information.
  • Utilize QuickBooks and Excel to perform tasks efficiently.

Administrative Responsibilities

  • Provide necessary administrative duties to support the firm.
  • Receptionist and general office support including greeting clients, scanning, copying, filing, telephone coverage, and mail.
  • Handle and route telephone calls, emails, inquiries, and correspondence.
  • Communicate professionally and maintain relationships with clients.
  • Schedule client meetings via phone and email.
  • Assist with special projects.
  • Tax return assembly and preparation of tax packages for clients.
  • Work in client portal downloading, uploading, saving and printing client documents.

Qualifications

  • High level of proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal abilities.
  • Demonstrates a sense of urgency, timeliness, and be able to set priorities.
  • Strong interpersonal and communication abilities (written and verbal) and proficient phone etiquette.
  • Strong organizational skills and attention to detail with the ability to multi-task.
  • Motivated self-starter able to exercise sound judgment and anticipate needs without specific instructions.
  • Ability to work both independently as well as part of a team, and interact with staff and clients at all levels.
  • Willingness to expand responsibilities and learn new skills to help our firm run smoothly and efficiently.

Experience

  • Proven experience in bookkeeping and administrative roles.
  • Experience in accounting and/or financial services industry preferred, but not required.

Expected hours

  • Full-time standard business hours, reduced seasonal summer hours.
  • Ability to work some Saturday hours during tax season required.
